Mazévo has a specialized tool that can help automate classroom assignments for academic courses.
Overview
The Mazévo classroom optimizer can automatically assign rooms to courses imported from your Student Information System (SIS). Mazévo can also update these room assignments back to the SIS.
Here is an outline of the process:- Import a term from your SIS.
- Assign rooms to courses.
- Process the term creating bookings in Mazévo and updating the SIS with the room assignments.
Once you have processed a term, Mazévo has several tools to view course information and even change the room assignments. Mazévo will also update the SIS with any changes.
Importing a Term from the SIS
To import the courses for a new term:
- Navigate to Academics > Terms.
- Press Add Term.
- Select a Term from the dropdown box.
- Press Import.
Mazévo will start the importing process and return you to the list of Terms. You can refresh the page or leave and return later. You will receive an alert in the Alert Panel indicating Mazévo completed the import.
Assign Rooms to Courses
There are five options for assigning a room to a course. They are as follows:
- Exclude the course from Mazévo
- Using the room set in the SIS
- Assigning a TBA room
- Manually select a room for the course
- Let the optimizer select a room for the course
These options are described in more detail below.
Exclude the course from any room assignment.
In some circumstances, you may have courses in your SIS, but you don't want to bring them into Mazévo. To exclude a course from the room assignment process:
- Navigate to Academics > Terms.
- Select a term to work with by clicking on Optimize.
- Then, using the checkboxes on the left, select one or more courses and select Exclude > Yes from the grid menu.
By excluding the course, Mazévo will not create booking records for the course and will not update the SIS with any changes since no room is assigned.
Assign the SIS Room to the course.
In some situations, you may already have the course assigned to a room in the SIS and prefer to use that room rather than assigning a different room (via the optimization process described next). To use the SIS room for the course:
- Navigate to Academics > Terms.
- Select a term to work with by clicking on Optimize.
- Using the checkboxes on the left, select one or more courses and select Assign SIS Room from the grid menu.
Assigning a TBA Room to the course.
A TBA room is a room defined in Mazevo as a room that is always available. You can use a TBA room to 'park' a course while you are working through the scheduling process.
- Navigate to Academics > Terms.
- Select a term to work with by clicking on Optimize.
- Using the checkboxes on the left, select one or more courses and select Assign TBA Room from the grid menu.
Manually selecting a room for the course.
In some cases, it may be desirable to choose the room for the course manually.
- Navigate to Academics > Terms.
- Select a term to work with by clicking on Optimize.
- Click on the Assign Room link in the New Room column and select a room from the list of available rooms.
Let the Mazévo optimizer assign the room.
After using the last three options (Excluding a course, Using the SIS room, or Manually selecting a room), the final step is letting Mazévo select rooms for the remaining classes that don't have a room assignment. Using the optimizer is entirely optional, as you may decide to use the SIS room for all of the courses or manually assign rooms to all the courses or some combination of those options. To automatically set rooms using the optimizer:
- Navigate to Academics > Terms.
- Select a term to work with by clicking on Optimize.
- Click on the Optimize button. Mazévo will close the grid and return you to the list of terms where you can wait for the optimization process to complete. You can wait for the process to complete or navigate to other areas of Mazévo. When the optimization process is complete, you will receive a message in the Alert area of the system.
