While processing requests, you may occasionally need additional information from the requester about the event they requested. Using Event Questions after the event is submitted allows you to gather more details.
Overview
Occasionally, an event planner must gather additional information from the requester to have a successful event. To collect this information, the event planner can add event questions, with due dates, to the event, which generates an email to the requester (one email per question) asking the requester to log in and provide additional details. These event questions are tracked in a special view in Day at a Glance, called Unanswered Questions, where the event planner can see the outstanding information requests. From Day at a Glance, the planner can send reminder emails to the requester (prodding them to supply the answers).
A requester can log into Mazevo and edit the event, supplying the requested information. When the requester supplies the information, the bookings' status will be changed to the request change status defined in the security policy.
You may need to have an administrator add the event question(s) to the system (Settings > Event Questions). Typically, the questions will have a Manual trigger.
Adding an Event Question to an Event
- Open the event that requires additional details.
- Navigate to the Event Questions tab and click Add Question.
- Select the appropriate question from the dropdown box.
- Check Notify the requester to answer the question.
- Enter the Due Date for the information.
- Press Save.
After the question is saved, an email notifying the requester of the information needed for their event is immediately sent.
Finding Unanswered Questions
- To find unanswered questions, navigate to Day at a Glance.
- Select Unanswered Questions from the hamburger menu. You may need to add this choice to your selections. See Using Day at a Glance for help using Day at a Glance.
- The display will show all unanswered questions and the Due Date for each question.
To send a reminder email to the requester, click the envelope icon next to the Contact Name.
