Account Codes: What They Are and How to Apply Them to Rooms and Resources

This article explains what account codes are and how to use them to add a general ledger account to rooms and resources.

Overview

Account codes are essential for tracking revenue by general ledger account. You can analyze revenue more effectively by assigning account numbers/codes to rooms and resources.

Adding Account Codes to Rooms

  1. Navigate to Settings: Go to Settings > Pricing Plans. You'll see a list of all defined pricing plans.
  2. Manage Account Codes: Click Manage Account Codes. You'll find tabs for rooms and resources.
  3. Select Rooms: Click the Rooms tab. Select one or more rooms by checking the box next to their names. You can sort the list and use the search functionality.
  4. Apply Account Code: Click Apply Account Code, enter the account code, and click Save. This will assign the account code to the selected rooms.
    • Note: If a room already has an account code, it will be overwritten with the new one.
  5. Remove Account Code: To remove an account code, click Remove Account Code instead of Apply Account Code.

Adding Account Codes to Resources

  1. Navigate to Settings: Go to Settings > Pricing Plans. You'll see a list of all defined pricing plans.
  2. Manage Account Codes: Click Manage Account Codes. You'll find tabs for rooms and resources.
  3. Select Resources: Click the Resources tab. Select one or more resources by checking the box next to their names. You can sort the list and use the search functionality.
  4. Apply Account Code: Click Apply Account Code, enter the account code, and click Save. This will assign the account code to the selected resources.
    • Note: If a resource already has an account code, it will be overwritten with the new one.
  5. Remove Account Code: To remove an account code, click Remove Account Code instead of Apply Account Code.
